Setting Up a Polling Day War Room: A Checklist
Polling day is the one day where every hour of preparation either pays off or doesn't. A war room's job is to turn scattered ground reports into a single, current picture your core team can act on — while there's still time to act. Here's a practical checklist for setting one up.
Before polling day
- Confirm your tagged supporter lists are current. A war room is only as useful as the supporter data feeding it — this should already reflect the latest Karyakarta updates, not a list from months ago.
- Assign a booth agent or Karyakarta contact for every booth. Turnout data is only actionable if someone on the ground can act on it within the hour.
- Share dashboard access with your core team in advance. Don't wait until polling day morning to test that everyone can actually open the link.
- Decide your thresholds ahead of time. Agree in advance what turnout number or swing signal should trigger a last-push response at a booth, so decisions aren't made under pressure in the moment.
During polling day
- Watch booth-wise turnout, not just constituency-wide turnout. An overall healthy turnout can hide two or three booths quietly underperforming — those are the ones that need attention.
- Track your tagged supporters' votes cast, separately from general turnout. High overall turnout with low supporter turnout is a specific, fixable problem — but only if you're watching for it.
- Check the live swing prediction against your pre-polling expectations. A booth swinging away from expectation, while there's still time in the day, is worth a targeted response — a call, a Karyakarta visit, a reminder push.
- Keep dashboard access read-only and token-scoped for your team. Share a link that needs no login and can be revoked when the day ends, rather than handing out account credentials.

A good war room dashboard surfaces a small number of things clearly, rather than everything at once: turnout percentage, supporters voted, slips issued that day, how many booths are reporting, and a running swing prediction per booth.
